Submitting the large design file is not completed once you share the upload link. The buyer needs to find the correct version, be able to open the file, and understand what they will use it for. Instead of applying an old FTP setting or random transfer method to all projects, establish a controllable sharing scheme that fits the delivery need.
Separate preview and production file
The low-size PDF sent for approval may not be the same as the file that will go to the printing house. Similarly, the interface image is not a substitute for the editable design file and interaction descriptions. You can separate folders according to their tasks, such as “approval”, “production” and “source”. Names should be simple enough for the team to understand easily.
Show decision in version name
Names like “last”, “last2” and “reallast” make it unclear which file is valid. Use project, date, and version number consistently. Specify the approved version in the delivery note; prevent mixing with old files in the same folder. If a new revision has been released, write down what has changed in a short note.
Test the connection with the recipient's conditions
The link opened in your own account may require authorization from the other party. Check the access scope, any download restrictions, and the link's expiration date. Do not share confidential client files publicly unnecessarily. Give the authority the recipient needs; Collaborative versus solo downloading may require different permissions.
Can the file be opened or used?
After the transfer, download and unzip the sample file. Check that the size, number of pages and expected content are correct. If there are missing fonts or linked images in the editable file, resolve them in the delivery note. Do not automatically add assets to the resource package that you do not have the rights to use; Explain the required acquisition path.
Leave a short delivery note
The note should include the current version, the purpose of the folders, the required application, and also the assets to be imported.
