Updating a price tag in store isn't just about replacing the old number with a new one. If the product code, variant, shelf location, and current version are disconnected, a properly designed label can end up in front of the wrong product. This guide suggests a data and control scheme that can be transferred between the store team and the freelance graphic designer. First prepare the product list, not the design file
Have a single approved source of label content. If the price in the email, the photo sent in the message, and the old catalog are different, the designer should not guess which is valid. Each row in the spreadsheet represents a single product or salable variant.
To get started, the following fields are available:
- Unique product code and product name used in the store.
- Distinctive variant information such as colour, size, volume or package.
- Price text approved by the authorized team.
- Label template and shelf/usage area.
- Start and end information of the campaign, if any.
- Person who approved the content and release date.
Do not match based on visual similarity for a line with a blank product code. First, ask the store team for the correct record. Calculating the price, verifying the campaign conditions and mandatory information is the responsibility of the brand party; design control is not a substitute.
Test the template with three difficult examples
Before placing all products, prepare a sample printout with a product with a short name, a product with the longest name, and a product with multiple variants. The template that looks good with a single short name may not work in the real list.
For example, imagine that the same series has 250 ml and 500 ml options. If the volume information cannot be distinguished when reading the large price figure, the customer may confuse the products. Variant information should not be subordinated to the logo or decorative lines. Instead of making the entire label text smaller to fit the long product name, re-evaluate the line break and order of information.
Print it at real scale and examine the label where it will be used. Shelf height, light reflection and the edge area covered by the label holder may not appear in the on-screen evaluation. This check is not a laboratory test; It is a production rehearsal that evaluates suitability for the usage environment.
Watch only changed rows in bulk update
In an example update, let's say the prices of 17 out of 120 products have changed. These numbers are to describe the method. In the update list, match the changed 17 product codes, the old version, and the new certified value. Do not lose scope for changes in the checklist, even if it is necessary to reproduce the entire design.
Filename alone is not validation. Using the product code and version in the output name helps; Additionally, it should be checked that the product and price in the file match the table. Having two PDFs with the same name in different folders may result in the wrong version being printed.
Printing and in-store placement are separate approval stages
You can split the delivery into three smaller packages: preview for approval, print file to meet manufacturer specifications, and placement list for the store team to use. Add folder and version description so the preview is not mistaken for a print file.
It is useful to include the product code, label quantity and relevant shelf space in the placement list. After printing, compare the label on the front of the product with the code in the listing. Also check if the old tag has been removed; The fact that the new file is correct does not automatically eliminate the old information in the physical space.
Five checks before delivery
- Is there a equivalent for each product on the list; Has the same product been produced twice by mistake?
- Can long names, currency and variant information be read at real scale?
- If barcode is used, has the output produced been checked with the relevant device?
- Have the manufacturer's dimensions and safe area conditions been preserved in the final file?
- Are preview, approved print file and older versions clearly separated?

Organized data makes mass production easier. First the template must be validated with fields, product codes and difficult examples. Automation does not convert information from the wrong source into correct information.
Is a redesign required only when the price changes?
