Digital asset management ensures that brand images and files remain discoverable, usable and up-to-date. When documents named “last”, “last2” and “reallast” proliferate, the problem is not just storage; It is unclear which file was approved. A simple archive standard provides great convenience for businesses that regularly work with freelance graphic designers.
Classify the file according to its usage
The source file, approved production file and presentation image should not be randomly located in the same folder. A packaging mockup is not a file to be sent to printing. A PNG logo will not be enough for every print. File formats guide explains these distinctions.
You can set up the folder structure based on brand, project and usage area. Include product, language, version and usage information in the file name. For example, writing “katalog-tr-baski-v03” with the product code is more understandable than an ambiguous series of numbers. In a web image, the subject of the page should be described with a natural file name.
Do not separate the license and approval from the file
Record the origin of the photo, font or stock illustration, the scope of permission and any usage limits. Owning the file does not mean having all usage rights. Check the terms of use in the relevant license text.
The approval date, approver, and current version can be specified for each submission. Remove old files from active use; Archive history without deleting it. This way, an old campaign image won't be accidentally used in a new ad.
Plan failover and backup together
Access to the public folder, the account belonging to the institution, and closing the access of separated individuals should be included in the company's responsibility plan. Instead of saying a backup exists, verify that it can be restored when needed. Content archive and technical backup of the website are different needs.
With Selçuk Aker we can discuss the scope of editable resources, release files and usage notes up front when planning graphic design delivery. Corporate identity delivery describes how the archive is connected to daily use.
Frequently asked questions
Is a separate DAM software necessary?
In small teams, well-managed folders and records may be sufficient. When the need for search, authorization and versioning grows, a special system is evaluated.
Are source files included with every quote?
It depends on the scope of delivery. Which editable files will be exported must be written from scratch.
Can the same photo be used on different channels?
It can be used if the license and design purpose are appropriate; Measurement and cropping should be checked separately for each channel.
